DIA will be hosting an Exhibit Logistics Webinar to help facilitate a smooth and efficient move-in to the BCEC, and to provide an overview of what to expect regarding your participation at DIA 2018. The webinar has been scheduled for Wednesday, April 4 at 11:00AM EDT.

Freeman Exhibitor Services Manual is now available for DIA 2018. Don't delay to take advantage of their early bird and online ordering discounts. Early bird discounting ends on Friday, June 1. Online Ordering will be available shortly at FreemanOnline. See the Exhibitor Resource Center for other forms and information you may need in planning your booth presence.

  Exhibitor Events and Meetings
 
Are you planning a client event during the Annual Meeting? Rooms at area hotels are sure to book fast so make sure to complete your preparations early. DIA reserves all function space and room block hotels – to request space, please complete the Event and Meeting Space Application Form (space at the BCEC is not available).

Please make sure to complete and return the Event and Meeting Space Application Form for any function you may be planning during DIA 2018 – whether at a neighboring hotel or restaurant, or museum, stadium, theater, or any other venue in the city. Keep in mind that events are only permitted outside of scheduled DIA meeting activities.
 
  Housing Deadline – March 30
 
The deadline for submitting guest names for your room block is March 30. If you have not already done so, please submit your room block assignments into onPeak as soon as possible.

Please note that DIA has significantly relaxed its room deposit and cancellation policy with the understanding that you are careful with the number of rooms you are booking, and we would like to continue with this lenient policy for future years. Therefore, if you are currently holding rooms that you know you will not be using, we ask that you please release them at this time. Should DIA see a considerable drop in room reservations closer to the meeting date, we will need to revert back to a policy which requires room deposit and cancellation fees.

If you have not yet submitted the room block needs for your company, we urge you to do so as soon as possible. Hotel rooms are filling fast, and you will also receive 10 Exhibit Booth Assignment Points towards your DIA 2019 booth selection when you book through onPeak by May 4, 2018.

  Solicitation from Unauthorized Vendors
 
We have been notified recently of a handful of unauthorized companies soliciting our exhibitors. If at any time you have doubts as to whether a company has been approved to represent DIA or the DIA 2018 Global Annual Meeting, please reach out to Americas.Exhibits@DIAglobal.org and we will let you know if they are authorized by DIA. We have also posted a list of Authorized Vendors on the DIA 2018 website for your reference. We will not have the ability to assist you with any issues that may arise from using an unauthorized vendor.
