  Exhibit Hall Access – New Policy
 
Due to a noticeable increase in the use of the free access hours for the purpose of solicitation, DIA will not be offering free access hours to the Exhibit Hall at DIA 2018. If you have clients or prospects that wish to visit you in the Exhibit Hall, we encourage you to utilize the Exhibitor Invites program to register them.




Exhibitor Invites allows you to send up to three emails to an unlimited number of your customers and prospects, offering them a $150 one-day Exhibit Hall pass or a $100 discount on the full Annual Meeting, as a friendly reminder to stop by your booth during the DIA 2018 Global Annual Meeting.

  Booth Reminders
 
As a reminder, all booths are required to carpet or put down flooring in their booth. If you are not providing your own flooring, carpeting may be ordered through Freeman by using the order forms included in the Freeman Online Exhibitor Services Manual. Carpeting will be forced on any booth not carpeted by noon on Sunday unless previous arrangements have been made.

Additionally, DIA provides a standard package with each 10'x10' booth that includes a 6' skirted table, 2 chairs, etc. Please complete and return the Show Package form to Freeman indicating if you wish to receive the booth package or not.

Make sure you have your Freeman orders in by Friday, June 1, to receive incentive pricing.
 
  Additional Services
 
In addition to the standard booth services offered by Freeman, we'd also like to highlight some of the other official groups offering services to exhibitors this year. Electrical, internet, phone, and other services are through Signature Boston/BCEC; Audio/Visual rentals are handled by Expert’ease; Catering services are provided by Levy Restaurants; Plant and Floral services through Urban Jungle; and lead retrieval scanner rentals are coordinated through Experient. Incentive deadlines are coming up! See the Upcoming Deadlines below for specific dates.
 
  Authorized Vendor List
 
With any exhibition there are always multiple companies and individuals to deal with – from logistics and housing to marketing and furniture orders – and it's often difficult to remember who to contact. To help you with this, we've created and Authorized Vendor List for your reference. This list provides the companies that DIA has contracted with for the DIA 2018 exhibit. Please note, as additional parties are brought on to handle various aspects of the show, the list will be updated.

We have been notified recently of a handful of unauthorized companies soliciting our exhibitors, specifically selling attendee lists. DIA does not provide our attendee data to any third-party organization to sell to exhibitors. If at any time you have doubts as to whether a company has been approved to represent or work for DIA 2018, please email Americas.Exhibits@DIAglobal.org. DIA will not have the ability to assist you with any issues that may arise from using an unauthorized vendor.
 
  Liability Insurance Requirements
 
All exhibiting companies are required to provide proof of insurance to DIA. Please review the details on our Proof of Insurance Information PDF online. Certificates of insurance may be faxed to +1.215.442.6199 or emailed to Americas.Exhibits@DIAglobal.org.
 
  Exhibitor Events and Meetings
 
Are you planning a client event during the Annual Meeting? Meeting space at DIA hotels is selling fast, and we encourage you to contract your meeting space early. DIA reserves all meeting space at room block hotels – to request space, please complete the Event and Meeting Space Application Form (space at the BCEC is not available).

Please make sure to complete and return the Event and Meeting Space Application Form for any function you may be planning during DIA 2018 – whether at a neighboring hotel or restaurant, or museum, stadium, theater, or any other venue in the city.
 
  Exhibit Personnel Registration
 
Make sure to register your staff by Thursday, June 21 in order to save time onsite!

We strongly encourage registration through the Online Registration System as the system will let you know exactly how many full-meeting and booth personnel badges your company receives – and allows you to go in and make replacements and other changes on your own. Only those listed as an exhibit contact will be able to use their user ID and password to access the online system. Please contact Americas.Exhibits@DIAglobal.org with any issues or questions.

Badge Allotments – Each 10x10 booth includes 1 full meeting and 3 booth personnel badges (a 10x20 would include 2 full meeting and 6 booth personnel badges, and so on). Innovators Hub Booths include 2 booth personnel badges. Certain exhibitor marketing opportunities include additional booth personnel badges as well. Once you've used up your allotment, additional staff would need to register as attendees for the meeting at the appropriate registration rate. DIA does not sell additional booth personnel badges.
